Facility use guidelines, safety requirements, and cancellation policy
General access
- Authorization required. All users must be authorized and trained before operating any equipment independently.
- Advance reservation. All instruments must be reserved through our online scheduling system before use.
- Safety orientation. A mandatory safety orientation is required for all new users before the first training session.
- Sample standards. Samples must meet our preparation standards for optimal imaging results. Consult with staff if you are unsure.
- Equipment care. Users are responsible for basic care and cleanliness during their session. Report any issues immediately.
- Billing. Usage is billed per actual session time at the applicable recharge rate. See Services & Rates.
Best practice
Always begin at the lowest magnification objective to locate your sample before increasing magnification. This reduces the risk of sample damage and protects the objective lenses.
Safety
Safety is the facility's top priority. All users must follow these requirements at all times:
- Wear appropriate clothing and closed-toe shoes in the laboratory.
- Know the location of emergency equipment (fire extinguisher, first aid kit, emergency exit).
- Report equipment malfunctions or safety concerns to staff immediately.
- Do not operate equipment if you feel unsafe or unsure — contact staff first.
- Follow all electrical safety guidelines. Do not modify equipment connections.
Important
Never leave imaging equipment unattended while operating. Power down all equipment at the end of your session and notify staff of any damage, unusual behavior, or concerns before leaving.
Cancellation & rescheduling
We ask that users cancel or reschedule as early as possible so instrument time can be offered to other researchers.
- 24 hours or more notice: Free cancellation or rescheduling.
- 6–24 hours notice: 25% cancellation fee.
- Less than 6 hours notice: 50% cancellation fee.
- No-show: 100% of the booking fee is charged.
Exceptions may be made for documented emergencies — please contact us as soon as possible if circumstances prevent you from attending.
Equipment malfunction
If equipment malfunctions during your session, notify staff immediately. We will work to resolve the issue promptly. If the equipment cannot be repaired in time, your booking may be rescheduled at no charge or your session fee refunded at staff discretion.
